Participant Register for PKP Sprint Helsinki

Purpose for Handling Personal Data
Personal data is collected and handled for organising the PKP Sprint event and communication. The register handles personal data in accordance with the General Data Protection Regulation, GDPR of European Union.

Register Content
The register includes the following information: the participant’s name, e-mail, Github username, title, affiliation, location, working group interests, attendance information, dietary restrictions and free comments.

The register controller shall remove information from the register, at the participants’s request, insofar as it is possible, taking legislation and regulations into account.

Standard Sources of Data
The participants provide their information upon registering to the event.

Standard Data Disclosures and the Transfer of Data outside the EU or EEA
Participant data will be disclosed to the other organiser of the event, Public Knowledge Project (https://pkp.sfu.ca/)

Retention time of Personal Data
All personal data will be removed after 12 months.

Principles of Security for the Register
The register databases are protected by firewalls, passwords and other technical means. The only persons who have access to the register, and have personally been granted passwords, are designated employees of the Federation of Finnish Learned Societies or the Public Knowledge Project. These persons are bound by professional secrecy.

Right of Access, Right to Rectification and Right to Prohibit Processing
Participants have the right to review the information that has been entered on them in the register. To review this information, customers must submit a signed written request to the person managing the register matters of the controller.

A request to review the information can also be submitted in person at the address noted above. The participant must show identification upon submitting a request to review the information.
